Fuel receipt scanner – extract VAT automatically
Photo of the fuel receipt by WhatsApp or email – myFRACHT extracts gross, net, VAT, licence plate and litres in structured form. No retyping, no faded thermal paper.
The problem
Drivers collect fuel receipts on thermal paper. Within weeks the receipts fade – and the VAT is no longer provable. The back office manually keys in amounts and licence plates for each truck.
How it works
- 1Upload a photo of the fuel receipt or send it by email
- 2The engine reads gross, net, VAT, licence plate, litres and date
- 3Confirm the checked data – ready for DATEV or export
What gets extracted
- Gross / net amount
- VAT / input tax
- Licence plate
- Date & time
- Litres / quantity
- Fuel station & location
- Receipt number
Your benefits
- Input tax deductible at any time – even months later
- Thermal paper fades? No problem – digitised immediately
- Costs automatically split by truck / licence plate
FAQ
- Why does thermal paper fade and what does that mean for VAT reclaim?
- Thermal paper reacts to heat and light: after a few months the print is often illegible. The tax authority can reject your VAT claim if the receipt is unreadable. GoBD requires receipts to remain legible throughout the retention period – so immediate digitisation is strongly recommended.
- Does it work with multi-page consolidated invoices from DKV, UTA or Shell?
- Yes. myFRACHT also processes multi-page PDF consolidated invoices and assigns each refuelling event to the corresponding licence plate – making it easy to analyse fuel costs per truck.
- Can I capture receipts from EU countries and reclaim foreign VAT?
- myFRACHT reads the receipt data in structured form – gross, net and stated VAT. Whether and how foreign VAT can be reclaimed is a matter for your tax adviser. myFRACHT makes no tax assessment.
- Are the digitised receipts GoBD-compliant?
- The original image is stored immutably. GoBD requires an identical, unchangeable copy of the original – myFRACHT meets this requirement through immutable photo storage.
- Do I need to install an app?
- No. A photo by WhatsApp, email or browser upload is enough. No app installation required.
